This policy explains what personal information Pool Pros Plus, LLC collects through www.pool-pros.com and in providing our pool construction, remodeling, repair, and maintenance services, and what we do with it. Job applicants and users of our internal platform are covered by our separate Platform Privacy Notice.
Important Notice Regarding Text Messaging Data
Pool Pros Plus, LLC ("we," "us," or "our") DOES NOT give away customer opt-in information, including phone numbers and consent records, with any partners or third parties for marketing, promotional, or any other purposes unrelated to providing our direct services. All text messaging originator opt-in data is kept strictly confidential.
Information We Collect
We collect the following types of information:
Information You Give Us
When you request a quote on our website, we collect your first and last name, phone number, email address, the property address, the services you are interested in, the type of pool (for repair and maintenance requests), a description of your project, and how you heard about us.
When you refer someone through our referral program, we collect your name, phone number, and email address, the name, phone number, email address, and property address of the person you are referring, what the project is for, and how you would like to receive your reward. Please refer only people who know you are sharing their details with us.
We also keep records of your inquiries and service requests, appointment details and preferences, and your service history and feedback, including what you tell us by phone, text, or email. We receive payment details when you pay for work we perform; this website does not take payments.
Consent Records
When you submit a form, we record the exact consent wording you agreed to and the date and time you agreed to it. We keep these opt-in records and timestamps for all communication channels (SMS, email, etc.).
Information Collected Automatically
- IP address, browser type, device information, and the pages you request, which our web host records to run the site securely
- How you found us: the campaign details in the link you arrived on (such as UTM tags and the click identifiers Google and Meta add to ad links) and the site that referred you. Our own code keeps these in your browser tab for the visit and sends them to us only if you submit the quote form, where they are saved with your request. The AI pool design tool on our pool construction and remodeling pages (see below) also saves them in your browser's local storage, where they stay until you clear your site data, and passes them to its provider.

How We Use Your Information
We use collected data for:
- Responding to your request, preparing estimates, and providing and improving our services
- Routing your request to the right team (sales for new pools and remodels, our service team for repair and maintenance) and creating a customer record in our scheduling software for service work
- Processing transactions and payments
- Communicating with you about your inquiries and appointments, and about promotions only if you have agreed to marketing messages
- Enhancing website functionality and user experience
- Measuring which of our ads lead to quote requests
- Ensuring security and fraud prevention, including screening quote requests for spam
- Maintaining records of your communication preferences and consent
Automated Spam Check on Quote Requests
Our quote form receives sales pitches as well as real requests, so we use an automated check to help sort them. You should know how it works.
When you submit the quote form, your request is checked by simple rules and by an AI service that we reach through our hosting provider. The AI service is shown your name, your city, the services you selected, how you heard about us, and your project description. It is not shown your phone number, email address, or street address. It returns whether the submission looks like a customer request or a sales pitch, which of our teams should handle it, and a one-sentence summary for our staff.
Three things about this matter:
- It never rejects or deletes your request. Every request is saved in our customer relationship system, whatever the check says. If the AI service is unavailable or gives an unusable answer, your request goes ahead without it.
- It never stops us contacting you. If the check thinks a submission is a sales pitch, it holds back our automatic follow-up, does not report the submission to our advertising partners as a lead, and marks our internal note about it as likely spam. It never adds the spam tag in our customer relationship system that stops us contacting someone, and it does not block you or remove you from anything.
- A person makes the final call. A flagged submission is posted to our private staff channel in Slack, when those notifications are switched on, and stays on record in our customer relationship system for our staff to read. Only a person can add the spam tag or restart our normal follow-up. If the check suggests your request needs our sales team, it can pass it to them for a call, but it is never used to turn a request away.
The AI models we use are ones our hosting provider lists as not retaining submitted data and not using it for model training, and both the request that makes the spam decision and the one that writes the summary ask for both protections explicitly. The check runs only on the quote form. Referrals and phone calls are not screened this way.
SMS Messaging & Compliance
By opting into our SMS messaging services, you agree to receive text messages related to our services, including appointment reminders, customer support, and important updates.
Opt-In & Consent
- You will only receive messages if you have explicitly opted in
- We maintain timestamped records of all opt-in actions
- We comply with the Telephone Consumer Protection Act (TCPA) and all applicable laws
Transactional and Marketing Consent Are Separate
- Our quote form has two checkboxes. The first lets us send you transactional messages about your request, such as appointment reminders and account notifications. You tick it to send the form.
- The second is optional and unticked by default. Only if you tick it will we send you marketing and promotional messages, such as special offers. Leaving it unticked does not affect your quote.
- Our referral form asks only for transactional consent. It does not sign anyone up for marketing messages.
Opt-Out Instructions
- You can cancel SMS notifications at any time by replying "STOP"
- You will receive a final confirmation message, and no further messages will be sent unless you re-opt in
- All opt-out requests are processed within 24 hours
Message Frequency & Content
- Message frequency varies based on your interactions with our business
- Messages will be directly related to the services you have requested
- We do not send promotional content without specific consent

SMS Data Protection Statement
Your SMS opt-in data and consent records are never provided to third parties. The only exceptions are:
- Service providers who facilitate the delivery of our text messages
- The service providers listed below that store or process your request on our behalf, such as our customer relationship system and our private staff notifications. They may not use it for their own purposes.
- Legal requirements (court orders, etc.)
We implement strict data protection measures to safeguard your SMS opt-in information and consent records.

Cookies, Analytics & Advertising
This website uses cookies and similar browser storage for analytics and for advertising measurement. Each tool is described below with how to opt out.
PostHog Analytics
PostHog records which pages you visit, what you click, and technical details about your browser and device, so we can see how the site is used and fix problems. It may also record sessions so we can see where visitors get stuck; everything typed into form fields is masked in those recordings, and the address suggestions and the referral confirmation that shows a name back to you are hidden from PostHog entirely. PostHog stores an anonymous identifier in a cookie and in your browser's local storage. We do not send PostHog your name, email, or phone number.

Meta Pixel (Facebook and Instagram)
The Meta Pixel tells Meta when a page on this site is viewed and when a quote or referral form is submitted successfully, so we can measure and improve our Facebook and Instagram ads. Meta sets cookies to do this and may connect the visit to your Meta account if you are signed in. Our website code sends Meta only the event and a random reference number; it does not pass Meta your name, phone number, email address, or message.
To opt out, manage your ad settings at facebook.com/adpreferences or block third-party cookies in your browser.
Google Ads
The Google Ads tag sets cookies so we can tell whether a visitor who clicked one of our Google ads went on to submit a quote or referral form. Our website code sends Google only that a form was completed, with a random reference number; it does not pass Google your name, phone number, email address, or message.
To opt out of personalized Google ads, visit adssettings.google.com. You can also opt out of interest-based advertising from many companies at optout.aboutads.info.
Bot Protection (Vercel BotID)
When you submit the quote form, Vercel BotID runs a check in your browser that looks at browser and device signals to tell a person from automated software. It is used only to block bots, not for analytics or advertising. Because it protects the form, it has no separate opt-out; you can call us instead.
Address Suggestions
As you type your address into the quote form, what you type is sent from our server to Google Maps Platform to suggest matching addresses. Google does not receive anything else from the form this way.
AI Pool Design Tool (OutdoorDesigns)
Our pool construction and pool remodeling pages include an AI design tool provided by OutdoorDesigns, a separate company. It loads from OutdoorDesigns' servers, and anything you put into it, such as photos of your backyard, your name, email address, budget, and project details, goes to OutdoorDesigns, not through our quote form. The tool may ask to use your camera so you can take a photo; your browser will ask you first. When the page loads, it also saves the campaign details from the link you arrived on (UTM tags and Google and Meta click identifiers) in your browser's local storage and sends them to OutdoorDesigns.
OutdoorDesigns handles this information under its own privacy policy and terms. If you would rather not use it, you can request a quote through our own form or call us instead.
Your Choices
You may control cookies through your browser settings. The quote and referral forms still work if you block analytics and advertising cookies. We do not use a cookie consent banner, and we do not respond to browser "Do Not Track" signals, as there is no common standard for them.
How Long We Keep Information
We keep inquiry records, estimates, consent records, and job records for as long as we have a business relationship with you, and afterwards as needed for warranty, tax, and recordkeeping purposes. You may ask us to delete your information at any time using the contact details below, and we will do so unless we are legally required to keep it.
Data Security
We use reasonable measures to protect your personal information, including encrypted connections on our website and access controls on the systems that hold your records. We will notify you of a security breach where the law requires it.
Despite these measures, no method of transmission over the Internet or electronic storage is 100% secure. We strive to use commercially acceptable means to protect your personal information but cannot guarantee absolute security.

You have the right to:
- Access, update, or delete your personal information
- Opt-out of marketing emails by clicking "unsubscribe" in our emails
- Opt-out of SMS messages by replying "STOP"
- Request information on how we process your data
- Ask what the automated spam check said about your quote request

- Lodge a complaint with a supervisory authority if you believe your rights have been violated

Children
Our website is intended for adults arranging services for property they own or manage. It is not directed to children, and we do not knowingly collect information from anyone under 18.
Third-Party Links
Our website may contain links to third-party websites, including the lenders on our financing page. We are not responsible for their privacy practices and encourage you to review their policies. This privacy policy applies only to information collected by Pool Pros Plus, LLC.
Changes to This Privacy Policy
We may update this policy periodically. The latest version will always be available on our website with the effective date. For significant changes, we will notify you by email or through a notice on our website.
